How to Write the Perfect Subject Line (for Agencies)

In the competitive world of new business generation, first impressions count, and when it comes to cold outreach, the subject line is your first impression. 

It's the make-or-break moment, it determines whether your email gets opened or ignored, filed or deleted.

And here’s how to write the perfect one.

Keep it Short, Keep it Sharp.

Most people skim their inbox, which means you’ve got 4-6 words to grab their attention. Think of your subject line like a billboard on the motorway, if it takes more than a second to scan, it’s too long.

“Introducing our award-winning integrated campaign services”

❌ “We’re an award-winning creative agency and would love to have a call” 

Make it about Them, Not You. 

One of the biggest mistakes we see agencies make is leading with their own name or credentials. “We’re an award-winning agency based in…” won’t cut it. Your prospect doesn’t care about you (yet). They care about value.

Make it relevant to their world, whether that’s a challenge you know they’re facing or a trigger like a rebrand, leadership change, or campaign launch.

“Spotted your new brand platform ”

“Saw your push for content on LinkedIn”

Personalisation (But Don’t Fake It) 

Don’t be afraid to put their name in the subject line, it shows you’re actually interested in connecting with them and sparks curiosity. 

“Nikole – saw your work on the BRAND campaign” 

“Mike – Spotted your recent TikTok”

Curiosity & Creativity Beat Clickbait. 

Your goal isn’t to say everything. It’s to say just enough. Subject lines should spark curiosity – but be rooted in relevance. No gimmicks, no clickbait but be creative with it. 

Don’t be afraid to stand out in the inbox with the subject line (if you’re bold enough)

“Spotted: a creative gap in your latest launch”

“Not another cold email (promise)”

“What we’d pitch if we were on your agency roster”

Lastly – Test, Tweak & Repeat. 

There’s no one-size-fits-all subject line. What works for a fintech brand won’t work for an FMCG brand. That’s why we constantly test – on tone, structure, and timing – and refine what gets results.
